Why we use it

To look after your eyes. We use your details and clinical records to examine your eyes, supply your glasses or contact lenses, and keep an accurate record of your care. This is part of providing healthcare. Where your sight test is NHS-funded, we also share the information the NHS requires.

To keep in touch with you by email. As a patient of ours, we may email you about our own eye-care services and eyewear. This includes eye-health guidance, a reminder when you may be due a check, and news about new collections in the practice. We do this because we have a genuine interest in keeping our patients’ eyes healthy, and the law allows us to email existing patients about similar services as long as you can opt out at any time.

• To make these emails relevant, we use your age, the date of your last visit, and the topics you choose. For example, so we only remind you about an eye test when you’re likely to be due one.

• We don’t send marketing emails to children.

• Every email has an unsubscribe link. You can also reply, email hello@jonathonbryan.co.uk or tell us in the practice, and we’ll stop straight away.

• Our emails use standard tracking to show us whether an email was opened and which links were clicked. We use this to improve our emails and to stop emailing people who no longer read them.

To run our practice. We use your information to book and manage appointments, handle payments, and meet our legal and professional obligations.

Who we share it with

We never sell your information. We only share it where needed:

• With the NHS and other health professionals: for example, NHS sight-test claims, or referrals to your GP or a hospital, where this is needed for your care.

• With trusted service providers who work on our behalf: our practice management and online booking system; Mailchimp (Intuit Inc.), which sends our emails; Squarespace, which hosts our website; and Google Analytics, which measures website visits. They may only use your information to provide their service to us.

Some of these providers, including Mailchimp and Google, may store information in the United States. Where this happens, they are bound by safeguards recognised under UK data protection law.

How long we keep it

• Clinical records: kept for as long as professional guidance from the College of Optometrists and NHS requirements say we must.

• Email preferences and activity: kept while you’re on our mailing list. If you unsubscribe, we keep only your email address on a “do not contact” list, so we never email you again by mistake.

Your rights

You have the right to:

• ask for a copy of the information we hold about you;

• ask us to correct anything that’s wrong;

• ask us to delete your information, or to limit how we use it (clinical records we’re required to keep are an exception);
